AI budget import

AI budget import speeds up getting started with Contrixt: you upload your existing budget spreadsheet, the AI analyzes it and suggests which objects to create — fiscal year, cost centers, categories, suppliers, budgets, contracts and investments. You review and correct the suggestions, then have them created. Instead of retyping rows and columns by hand, you take over in minutes what's already in your existing budget planning.

Prerequisites

  • AI features must be enabled for your tenant — an administrator enables them under Administration → Settings → AI features (see Settings).
  • Your package must include the AI budget import feature. If it doesn't, the app shows a notice with an upgrade option (see Subscription & billing).

Process

  1. Upload the file — Excel (XLSX) or CSV, up to 10 MB.
  2. Select the sheets — Contrixt reads the file and lists every sheet it contains with its row count, a recommendation and the reasons behind it. The suitable sheets are already selected; pivot reports, helper sheets and previous-year sheets stay out. You can adjust the selection at any time. If the file has only one usable sheet — the normal case for CSV — this step is skipped and the analysis starts right away.
  3. Analysis runs in the background — the AI reads the selected sheets row by row; depending on their size this takes one to two minutes. You can leave the page while it runs — the draft is preserved and can be continued later.
  4. Review the suggestions — every recognized item shows its source (sheet and row) and an AI confidence score. You correct individual fields directly in the overlay, accept items, or discard them.
  5. Create — one click creates every accepted item. Contrixt then shows a summary per object type (created / skipped / failed).

What can be created

  • Fiscal year — planning period with start and end date
  • Cost centers — including any recognized hierarchy
  • Categories — mapped to operating expense (OPEX) or capitalizable cost (CAPEX)
  • Suppliers
  • Budgets — plan amounts per fiscal year × cost center × category
  • Contracts — recurring costs with term and supplier
  • Investments — capitalized amounts with depreciation period

Safeguards

  • No duplicates: objects that already exist based on their business key (e.g. cost center code, contract name, or the combination of fiscal year × cost center × category) are skipped, not created a second time.
  • Existing amounts stay untouched: if the import finds an existing budget, contract, or investment, its amount is never overwritten.
  • Traceable: every suggested item shows its source (sheet/row) in the original file and a confidence score, so you always know what a suggestion is based on.
  • Transparent on large files: very large files are analyzed in a truncated form; a note on the draft makes this visible before you review and create.
  • Running the same file a second time is safe — objects already created are recognized and skipped.

Data privacy

The content of the uploaded file is sent to the AI service Contrixt works with for analysis. For details on data processing and the opt-in nature of AI features, see AI Assistant → Data privacy.
